We are seeking a highly organized, detail oriented candidate who will serve as the President's gatekeeper, insuring his time is devoted to the most critical projects.
The ideal candidate will have a professional demeanor, be resourceful, responsive and have the ability to see a task through to timely completion.
Description:
As the Administrative Assistant, you will report directly to the President of the Company.
Your primary role will be to assist him in an administrative capacity that will allow him to be more efficient and productive and focused on priorities.
In this role, you will manage his daily communications, calendar, workflow and special projects as they arise.
You will also coordinate with and perform some tasks for the Engineering Team and Accounting Administration Team on an as needed basis.
The ideal candidate will represent the President to staff, clients and visitors, exercise strong judgment regarding confidential matters, and have a can do attitude.
Responsibilities:
Strategically manage President's calendar; Understand priorities and assist with scheduling meetings and events accordingly.
Ensure that the schedule is adhered to so that critical tasks are completed on time.
Handle all communications sent to the President by taking and directing calls, managing emails and prioritizing messages that require immediate attention.
Coordinate with the President to determine immediate action items as well as longer term goals and projects.
Recap critical communications from the previous day and provide an updated status of where issues stand.
Execute ad hoc projects related to the President's workload, e.
g.
producing letters, reports and job proposals, organizing and maintaining online job files, etc.
It is expected that these projects will grow in scope as the individual develops organizational knowledge.
Advise the President on ideas to improve organizational development and help to implement them throughout the company.
Facilitate the flow of information and data amongst internal departments and affiliated companies.
Qualifications:
High proficiency with Microsoft Outlook, Word and Excel Organized; Proactive; Focused; Detail Oriented Ability to communicate clearly and listen attentively Skilled at proofreading documents for grammar, punctuation and spelling Adept at maintaining professional relationships with staff and clients Capable of taking initiative and working independently Ability to multi-task while maintaining a high degree of accuracy Comfortable stepping outside of regular duties as needed College degree preferred or equivalent experience 3
years of administrative experience
